Key Account Sales Coordinator
Job Purpose
Transpac Brands, a growing and dynamic wholesale company of decorative items for the gift, home and garden industries, is searching for a driven, energetic team player. This position will be responsible for providing a high level of service and support to the Key Account Executive Team – both internal and external - and its customers, with an emphasis on account operations and administrative tasks. Additionally, the Key Account Sales Administrator is expected to assist with sample shipments, sales reports, marketing materials, coordinating key account show needs, completing detailed order entry as well as tracking product shipments from order placement to delivery.
Duties and responsibilities
- Partner with Key Account Executive to master account details in order to own item setup, order entry, order revisions, EDI transmittal / review process and shipment tracking by account
- Work with Purchasing to complete new item details and place special product orders for production (Factory Purchase Orders)
- Work with Accounting team to resolve account Payment issues, Returns and Defective Claims and to provide invoices to accounts where needed. Includes New Customer set-up and maintenance.
- Coordinate sales collateral for KAEs, to include: catalog requests, customer quote sheets, customer spec sheets, customer item set up sheets, and sending of Hi-Res Images with item detail to customers
- Communicate and review with KAE and the Warehouse by-account shipping needs/requirements in order to maintain On-Time shipments before cancel dates, High Fill-Rates, provide status of Back Orders and cancellation of Back Orders when necessary
- Provide Order Tracking to customers when necessary
- Manage sample requests for sales presentations and trade shows (tracking and assuring on time arrival). This requires partnering with the KAE to identify sample needs, costing and deadlines for arrival and partnering with the Warehouse when needed
- Maintain and facilitate completion of required paperwork for Account Setup – i.e. Vendor Contracts and Credit Applications
- Pull Quotes as needed – master the Quote program
- Perform office administrative functions and PowerPoint presentations as needed
Skills and Competencies
- Proficient in learning back office systems and portals
- Possess strong interpersonal skills and the ability/desire to interface with all levels of management and inside/outside sales team on a daily basis – phone, mtgs. and emails
- Prepare professional presentations utilizing PowerPoint
- Detail oriented and sales focused
- Strong organizational and creative problem-solving skills
- Time management and planning skills and be able to meet deadlines
- Multi-task and prioritize responsibilities
- Fearless in asking for help/feedback and in reaching out to co-workers
Qualifications
- Strong proficiency in Microsoft office applications. i.e. Excel, Word, Power Point, Internet and e-mail applications, Apprise ERP knowledge is a plus
- At least 2-3 years sales support experience required

- Lifting: Raising or lowering an object from one level to another (includes upward pulling)
- Prolonged use of computer involved; use of hands and finger coordination; Specific vision abilities required by this job include close vision, distance vision. Color vision, depth perception and ability to adjust focus.
- Speech clarity requires the ability to speak clearly so others can understand you.
- Carrying, Pushing, Pulling boxes and sample orders up to 20 lbs.
